Description
JOB DUTIES
Animal Shelter
- Supervise and support the employees and volunteers to ensure that daily operations of the shelter are operating effectively and efficiently, including but not limited to, intake, adoptions and placement, and care and feeding of the animals.
- Enforce and clarify organizational policies and procedures and applicable state and federal law, including safety and permits.
- Serve as liaison between shelter staff, veterinary staff and the Board of Directors including the implementation of the long-range strategic plan.
- Develop new programming to support and enhance oversight of animal care including but not limited to thriving foster care program.
- Research and address the serious cat overpopulation.
- Research and establish best practices for shelter operation.
Cruelty Investigations
- Supervise and support Cruelty Investigation staff to ensure that complaints of animal cruelty and neglect are handled a timely and professional manner, including but not limited to, appropriate investigation, follow-through and documentation.
- Develop Key alliances with government officials, law enforcement, district attorney, state’s attorney, and community organizations.
- Serve as a liaison between the Cruelty Officers and the Board of Directors.
Administrative
- Plan for efficient use of facilities
- Oversee all daily administrative operations.
- Ensure compliance with local, state, and federal laws and regulations.
- Develop and revise organizational policies and procedures and needed.
- Continually evaluate shelter operations and organizational programs and create reports to provide critical analysis to the Board of Directors, as needed.
- Plan, implement, and evaluate strategic goals and objectives.
- Provide, by example and leadership, motivation and direction to all employees and volunteers with a focus on building morale.
- Hire, evaluate, and supervise employees and volunteers.
- Develop and maintain a positive work environment and foster effective teamwork among
staff members and volunteers.
- Responsible for the security of all organizational files, legal and historical documents.
- Meet regularly with the Board of Directors to present reports and apprise them of important issues, problems and new ideas. Assist on board committees as assigned. Serve as liaison between the governing body and agency staff.
- Follow all safety rules to ensure a safe work environment at all times.
Financial Management
- Work with outside bookkeepers and auditors
- Controls and monitors all purchases and manages other fiscal and property resources as directed by the Board
- Ensure annual fiscal audit and not-for-profit status paperwork occurs and remains compliant with state and federal requirements
Fundraising & Development
- Enhance the organization’s fundraising strategies and development capability through annual campaigns, mailings, special events, capital campaign programs, cultivation of potential donors, bequests, estates and special events coordinated with Board efforts.
- Collaborate with Board of Directors on events and campaign planning.
- Research grant opportunities and submit applications as appropriate.
- Provide ongoing contract management for any/all awarded grants and program funding.
Community Relations
- Serve as the face and chief advocate of the organization in the community and surrounding area.
- Promote and maintain a favorable image in the community at large through effective public relations and media relations at all levels.
- Respond to the community’s needs through educational and other outreach programs.
- Working with the media to enhance the organization’s exposure to the community and continually expand community awareness of program services and value to the community.
- Address and resolve complaints, create tracking mechanism in order to spot trends and issues of concern.
- Maintain effective relationships with a number of key constituents and community stakeholders including veterinarians, other animal welfare organizations, the county, towns, and community organizations.
Program/Service Coordination
- Ensure that all program services are provided in an efficient, effective, and professional manner staying abreast of current animal welfare issues.
- Ensure that Board designated priorities, goals and objectives are achieved at the highest level of quality possible.
- Develop and maintain innovative adoption, foster care, and community-based programming.
- Foster volunteerism at the organization maintaining a positive environment and providing volunteers with information and support. Research corporate, non-profit and personal opportunities to generate new volunteers.
- Participate in appropriate professional organizations on behalf of agency as budgeted.
Risk Management
- Identify and evaluate risks to the organization’s people (clients, staff, management, volunteers) property, finances and image and implement measures to control risks.
- Ensure that the Board of Directors and organization carries appropriate insurance coverage. Review coverage and limitations with the Board.
Board Relations
- Prepare and develop oral and written reports for the Board of Directors regarding organizational operations and make recommendations for change or improvement to operations.
- Gather material and data for use by the Board of Directors and its committee in order to assist them in carrying out assigned tasks.
- Serve as liaison between the Board of Directors, management, and support staff, and volunteers
Qualifications
- Bachelor’s Degree
- Five (5) years of administrative and managerial experience with a budget of over one million dollars. Thorough knowledge of budgeting and familiarity with accounting principles and practices.
- Knowledge of animal shelter experience preferred.
- Payroll experience.
- Demonstrated innovative leadership skills.
- Demonstrated communications skills, written and oral.
- Experience dealing with the media.
- Ability to multitask.
- Ability to interpret statutes and regulations and to direct the prosecution of violators.
- Proven skills in human relations management and organizational leadership supervising 25+ employees
- Experience working with local, state and federal laws dealing with animal programs.
- Acquainted with, and invested in fulfilling the principles, purposes, and objections of the agency.
- Must possess working proficiency with Microsoft programs, QuickBooks, and donor databases.
- Must be able to lift and carry 40 lbs.
- Must successfully pass a criminal check, credit check
- NYS Driver’s License
Working Conditions
- Work is primarily performed in the shelter office, which may be a frequently noisy and somewhat distracting environment.
- Position requires regularly movement within shelter and travel to outside meetings.
- Position requires availability during evening, holidays and on weekend as needed.
- Must be available and willing to travel to such locations and with such frequency as the SPCA determines is necessary or desirable to meet its business needs.
- Job involves frequent and routinely intense public contact as well as protracted concentration under conditions that can be described as extremely fast paced and potentially stressful.
- Written performance evaluations will be given after the first six (6) months and the first twelve (12) months of work, and annually thereafter.
- Job description is subject to change as approved by Board of Directors.
Yearly Salary: $100,000.00
