Description
Essential Duties and Responsibilities
Planning
- Develop the annual operating budget
- Collect and analyze important client/patient and other data to identify existing trends and opportunities and to predict and proactively address challenges
- Research veterinary industry trends
- Use internal data and external research to make continuous adjustments to improve operations and client and patient services
- Work with the Richmond SPCA Advancement Department to plan and execute hospital marketing strategies and tactics (to include social media platform management)
- Work with managers in other departments to coordinate delivery of hospital services where cross-departmental involvement is required
- Work with senior management to achieve organization-wide goals and objectives
Financial Administration
- Monitor daily, monthly, quarterly and yearly revenues
- Approve and monitor expenditures
- Verify accuracy of monthly operating statement prepared by the Chief Financial Officer
- Oversee employee payroll
- Oversee the monitoring of inventory control and reports
- Work with staff to maintain the integrity of the AVImark database
- Develop fee schedules and adjust pricing as necessary
Client Development
- Monitor and review the hospital's attention to client convenience and recommend enhancements to processes and procedures when necessary
- Set service goals, including those focused on client retention and satisfaction
- Find ways to collect client feedback to facilitate enhanced patient care and client service
- Look for and recommend opportunities for employee training
- Interface with clients regarding any customer service problems and work to resolve issues
- Establish client appointment scheduling guidelines and make adjustments as necessary to meet internal and client needs
- Identify ways to reduce omissions and inconsistencies
Employee Development, Administration and Supervision
- Motivate employees and build a culture of respect, professionalism and enthusiasm for the mission
- Insist upon the highest ethical and professional standards among employees
- Interview and hire doctors (with consultation from the Director of Veterinary Medicine who oversees the provision of professional services and the Supervising Doctor of Veterinary Medicine)
- Develop and update annually employee job descriptions
- Oversee the creation, implementation and improvement of orientation and training procedures for new employees in consultation with the People Operations department
- Conduct yearly employee reviews for management staff and doctors
- Facilitate regular client and patient care team meetings for the delivery of important ongoing education
- Develop doctor schedules and work to ensure teams are adequately staffed; monitor staff attrition rates, etc.
- Listen to employee concerns and ideas
- Handle employee problems requiring disciplinary or other action (in coordination with other management staff)
- Monitor projects assigned to client and patient care teams to ensure timely completion
Facilities, Equipment and Technology Management
- Provide input to the Facilities Manager to ensure that the physical hospital space continues to meet the medical and administrative needs of the patients, clients and employees
- Provide input to the Chief Operating Officer to ensure that technology - phone systems, computers and other devices and office equipment - efficiently meets the medical and administrative needs of the hospital
Miscellaneous
- Assist with organizational events as needed
- And other tasks as needed or assigned
