Description
Examples of Duties and Responsibilities:
Supervisory Responsibilities
- Oversees workflow of employees, creating team schedules and delegating tasks.
- Training and onboarding
- Recommend new employees to Human Resources
- Assist management in the development, implementation and maintenance of operational and organizational policies, animal database system and other related software
- Inventory and ordering
- Train, supervise and support team members and volunteers
- Model professionalism and exceptional customer service while actively promoting the organization's mission, services, programs and events, adhering to policies and guidelines
- Participates in performance evaluation, check ins, disciplinary action, and training
- Participates in reviewing and correcting payroll for customer service department.
- Make suggestions and implement changes
- Completes and reviews necessary reports to assess productivity and functionality of the department.
Operational Duties
General
- Working alongside staff to meet their needs as well as the needs of our clientele, which includes working with clients surrendering their animals, direct animal handling with Fear Free methods, and referral to partners/resources for support, data entry, and routine correspondence
- Collaborating with and supporting colleagues across departments
- Provide a prompt, professional, positive, compassionate and friendly demeanor to clients at all times
- Check voicemail and email accounts, promptly responding to all inquiries
- Graciously accept monetary and in-kind donations
- Perform additional clerical duties such as filing, and record maintenance, and other duties as assigned
- Maintain a high standard of animal care and welfare, which may include helping with scheduled feedings, clean water, proper bedding and enrichment toys using Fear Free methods
- Maintain accurate cash drawers (money and receipts); perform end of day reconciliations
- Accurately record all information provided by animal owner or guardian regarding animal history, health, and behavior utilizing shelter software
- Work with volunteers in a kind and welcoming manner as needed
- Follow established protocols to clean, disinfect and maintain all public areas
- Additional duties as assigned
Skills and Requirements:
- Seasoned supervisory experience with a demonstrated ability to direct, lead, delegate, problem solve and offer support
- Able to work well under pressure, in emotionally charged situations and handle confrontation politely and professionally while finding a solution
- Ability to positively interact with colleagues, coworkers, and community members from widely varied backgrounds with integrity and honesty throughout all facets of the position, maintaining confidentiality at all times
- Ability to excel in a fast-paced, often high stress environment, multi-tasking and attention to detail is a must
- Treats animals and people with respect, considering all individuals as potential collaborators with something to offer
- Is able to be discreet and confidential in a variety of situations
- Excellent written and verbal communication skills; bilingual preferred; is a people person and a team player
- Possesses a love of animals and is able to interact with them in a calm, non-threatening manner
- Strong computer skills including typing, email etiquette and use of internet search tools
- Familiarity with dog and cat breeds, animal descriptions, and animal sheltering community is a plus
At least one of the following:
- Minimum one-year experience performing behavior assessments, animal training, or other enrichment activities
- Minimum one-year experience in a veterinary setting, assessing health status, providing vaccinations, etc.
- Minimum one year in a heavy counseling or customer service/social service-oriented role
